PURPOSE:
This is a part time role to assist the Sales, Marketing and Operations Management with a range of administration tasks, including, updating & maintaining information, statistics, supplier liaison and travel arrangements. 

ROLES AND RESPONSIBILITIES :
  • Answering the toll-free number
  • Running a range of reports from the TS Database in preparation for e-newsletter distribution (links in with below)
  • Updating and maintaining the TS Database system 
  • Entering new business card contacts to the database
  • Booking travel arrangements for senior management team
  • Printing & collating weekly booking stats
  • Running & collating reports for monthly conversion stats
  • Managing GPS and Blackberry allocation charts for FAMs and business trips
  • Assisting the Information Specialist with projects as appropriate and time permitting
  • Maintaining and updating the Managers’ Emergency Rota & Absence Chart
  • Maintaining the Guide contact lists
  • Placing stationery, signage and business card orders
  • Supplying limousine companies, coach companies and guides with the appropriate signage and stationery as requested
  • Perform a variety of administrative duties and statistical tasks as required
  • Coordinating the Supplier Health & Safety Check project 
  • Minute taking as and when required
EXPERIENCE & QUALIFICATIONS:
 
Essential
  • Proven experience of working within a varied administrative role
  • Experience of working in an office environment and carrying out administration duties
  • Good level of experience using Microsoft Office Suites (Outlook, Word, Excel)
  • Diligence and great attention to detail
  • Good communicator
  • Customer service orientated
 
Desirable
  • Database and reporting experience of advantage
  • Punctual and presentable
