DESCRIPTION OF DUTIES
 
Documentation
  • To prepare and check the final documentation for any errors or changes
  • To provide accurate reconfirmation and tour documentation for all suppliers
  • To maintain accurate Travel Studio records
  • To reliably update and maintain relevant charts such as VIP chart, Recce schedule etc
  • To prepare financial statements and invoices to agents as required and ensure all necessary payments have been received on time
 
Assistance with Operations as required
  • To check hotel availability, ensuring use of allocations where available
  • To confirm options held and to accurately book all services required for the successful operation of the tour within the budget set
  • To confirm bookings to the client within the agreed time frame
  • To assist resolving problems which may occur during the course of a tour
  • To maintain professional relationships with all suppliers and clients at all times
  • To liaise with agents directly on any changes or operational requirements
  • To re-negotiate any major services before confirming
  • To reconfirm all services during the tour when no local representative included

General/Other

  • To provide emergency mobile telephone service on a rota basis and provide all necessary information for the emergency file
  • General office duties
  • To conduct special projects as requested by your manager
  • Any other reasonable duties as requested by your manager

 
Candidates should hold a University degree or similar OR solid and relevant work experience, be numerate, accurate and dedicated and have an up-to-date knowledge of Outlook, Word, Excel and PowerPoint.
