Position:
Sales Consultant/Quoter (Travel Executive)
 
Location:
Madrid, but you may be required to work at such other location(s) as the Company may require
 
Reports to:
General Manager
 
Summary of Duties:   
Responsible for the successful quoting and winning of business for MICE, Group and FIT tours, as well as operations as required. Success will be measured on achieving and exceeding set budgets and targets including sales, margins, conversions and turn-around times.
 
Desired Attributes:

  • Excellent (preferably native) command of Spanish and ideally Portuguese
  • Excellent command of the English language, spoken and written, including creative writing
  • University degree or similar OR extensive relevant work experience
  • Relevant previous experience in the travel industry, ideally in sales and ideally in the luxury sector
  • Ideally some experience in handling large groups or even incentives as well as FITs
  • Up-to-date knowledge of Outlook, Word, Excel and Powerpoint
  • Imaginative & creative
  • Numerate, accurate/detailed and dedicated
  • Results and sales driven
  • Hard working and independent
  • Excellent knowledge of Spain & Portugal
  • Good general knowledge from art to history, food and wine…

 
Sales, Proposal Creation & Costings:

  • To design, cost up and sell imaginative tailor-made Group & FIT programmes as well MICE proposals, checking the feasibility of itineraries and making suggestions as appropriate
  • To negotiate hotel rates, especially where our contracted rates are higher than internet rates
  • To negotiate the best rates, terms and conditions necessary to meet clients’ requirements
  • To cost each programme accurately, competitively and to the required level of quality within the agreed time frame whilst maintaining creativity
  • To check hotel and supplier availability for programmes and hold provisional reservations if necessary
  • To follow up on all new business quoted until a definitive result is obtained
  • On confirmation, set up the file and make sure Travel Studio & i-Builder (in-house reservation and quoting systems) are accurate before handing over to the operator
  • To ensure tour arrangements are confirmed within an agreed time frame
  • To actively investigate new products to achieve greater sales to existing and new clients
  • To assist in training and supervising new team members and operators
  • To check, when requested, costings and itinerary content of programmes which have been set up by other team members
  • To check the final itineraries and supplier information before they are sent to suppliers.
  • To resolve problems which may occur during the course of a tour, in conjunction with the operator
  • To maintain professional relationships with all suppliers, tour directors, colleagues and clients at all times, including face-to-face sales and operations meetings
  • To do price comparisons with our main competitors/hotel internet rates to ensure that our contracted rates are competitive within the market place

 
Financial:

  • To assist the Accounts Department with invoice queries as they arise
  • To enter financial data onto Travel Studio in a timely and accurate manner
  • To ensure that correct funds are received from a client by the agreed dates
  • To ensure that supplier payments and client commission payments are made within an agreed time limit as necessary

 
Quality Control / Customer Service:

  • To follow up on Customer Service and Quality Control issues within 2 working days – in conjunction with the operator, keeping the General manager informed at all times
  • To actively highlight potential CS/QC problems and take steps to avoid them

 
General:

  • To provide emergency mobile telephone service on a rota basis (initially 1 in 3 weeks, less as the operations team grows over time) and provide all necessary information for the emergency file
  • General office duties such as answering telephone etc.
  • To conduct special projects as requested by the Manager
  • Any other reasonable duties as requested by the Manager
  • Provide guidance and assistance to members of staff in other European A&K DMC locations

 
As a basic minimum the candidate must have the legal right to live and work in Spain and must be 100% fluent in Spanish spoken and written.  Portuguese would definitely be a benefit.
