PURPOSE:

Assisting with the operation of Small Group Journeys for the Small Group Journeys department, primarily focussing on client and supplier documentation.

 

RESPONSIBILITIES: 

Operations
  • To assist accurate booking all ground arrangements for multiple departures of our European tour series, and work with local suppliers, tour leaders and sales office to ensure the smooth operation of the tour.
Documentation
  • Handling a variety of European tour ground operations, across multiple departures per month
  • Working with our in-house reservations system to operate the tour and ensure financial records are accurate.
  • Preparing detailed documentation for the tour leader of each tour, and our emergency on call staff.
  • Preparing and sending detailed documentation for hotels and suppliers of each tour in good time.
  • To log and share feedback from each tour to ensure that improvements are made as soon as possible.
  • To proactively highlight potential Customer Service problems and take steps to avoid them.
Assistance with Operations as required.
  • To assist resolving problems which may occur during the course of a tour.
  • To maintain professional relationships with all suppliers at all times.
  • To provide all necessary information for the emergency file
 
 
 
ABOUT YOU:
  • Good level of written and spoken English.  
  • Knowledge of other European languages would be an advantage
  • Up-to-date knowledge of Outlook, Word and Excel
  • Accurate and numerate
  • Able to work semi-independently
  • A positive outlook, even when working under pressure
